Booth size/price:
- Package Artists: 2x2m, 100,00€ excl. VAT.
- Package Vendors: 6x2m, 290,00€ excl. VAT.
- The price is for the entire duration of the event.
- Additional furniture and electricity can be booked separately.
Equipment:
- Package Artists: 1x table and 1x chair
- Package Vendors: 2x table and 2x chair
- Each package includes two exhibitor tickets and a parking card for the duration of the event, a mention in the exhibitor directory with logo + link and a uniform back wall.
- If more tickets are required, this must be noted on the registration form under comments or purchased on site at the ticket office.
- The organizer reserves the right to slightly vary the table sizes. The final table sizes will be announced with the confirmations at the end of February.
- All furniture used, including tables and chairs, must remain within the artist/vendor area marked by the organizer during the event and must be returned complete and undamaged at the end of the event.

General booth information:
- The General Terms and Conditions and the House Rules of Messezentrum Salzburg (https://www.mzs.at/de/agb/) apply.
- The application phase runs from October 28th, 2024, up to and including February 14th. Applications received after this date will automatically be placed on the waiting list.
- Co-exhibitors must be known at the time of application and must be named on the application form. Joint use is limited to a maximum of two exhibitors per booth. Additional fees will be charged for the registration of a co-exhibitor (price on request). The co-exhibitor cannot be changed after receipt of the booth confirmation. A refund of the co-exhibitor fees is not possible in the event of a joint booth being canceled.
- There is no restriction on the number of booth assistants and supervisors, unless they are additional co-exhibitors.
- Applicants who have attracted the organizer's negative attention in the past, e.g. through breaches of the rules, defamation, immoral behaviour, etc., will not be accepted or will only be accepted to a limited extent. This also applies to participation in the form of a co-exhibitor.
- Dismantling before the end of the official event running times is not permitted.
- The organizer is not liable for damage caused by third parties or for theft of the goods.
- The placement of goods and/or advertising material outside the booth area is not permitted and may lead to extra costs or, in the event of a repeat offense, to exclusion.
- The booth may not be passed on or rented to others without the written consent of the organizer.
- The walls must not be pasted over or damaged in any other way.
- The booth equipment must be returned in perfect condition at the end of the event.
- Damaged, destroyed or lost furnishings will only be restored and replaced by the organizer and at the expense of the exhibitor.
- The booth space may not be altered (e.g. extended) during the event. Fees may be charged in the event of non-compliance.
- Power connection: The organizer is not liable for any damage caused by the use of power connections at the event location.
- Advertising measures (e.g. flyers) are permitted without restriction at the exhibitor's own booth (within the scope of normal event operations), but are only permitted in the event venue in consultation with the organizer.
- The organizer reserves the right to reject registrations without giving reasons.
- The conclusion of the contract does not entitle the exhibitor to the allocation of a specific space, but his wishes will be taken into account.
- The exchange of booths between approved exhibitors requires the prior consent of the organizer.
- Booth areas rented by the organizer may not be sublet or rented to third parties.
- If no response is received within 3 weeks of receipt of the confirmation, the organizer reserves the right to allocate the booth to another exhibitor, whereby the confirmation issued loses its validity.
- After the application phase, exhibitors will receive an acceptance or rejection. Only exhibitors who have been accepted will subsequently receive a booth confirmation including invoice.
- Selection procedure: The organizer reserves the right to allocate the available places as follows: 1/3 specifically selected, 1/3 according to order and depending on the date of receipt of the registration, 1/3 by random draw. Care will be taken to ensure a good and fair mix of everything.
- The organizer reserves the right to adjust the selection procedure and the number of places available during the planning phase.
- Each exhibitor may not have more than 1 sales booth. In addition, products from the exhibitor may not be offered by other people in the Artist Alley.
- The organizer ensures that the preliminary table plan is completed at least 3 weeks before the start of LEVEL UP. Each exhibitor will receive a table number and a table plan and can look for their table independently on site. The LEVEL UP team will assist on site.
Withdrawal/non-participation:
- The exhibitor may cancel an application confirmed by MZS in writing, either in full or, in the event of a reduction in space, in part. In the event of cancellation (in whole or in part), the following cancellation fees shall be payable:
- 80% for cancellations received up to 8 weeks before the start of the event.
- 100 % of the cancellation fee if received less than 8 weeks before the start of the event.
- The basis for calculating the cancellation fee is the total price for participation and provision of booth space as specified in the registration confirmation plus VAT at the statutory rate. Any orders (e.g. with service partners) that can no longer be canceled free of charge will be invoiced.
- The organizer does not have to accept a substitute renter provided by the exhibitor.
- If the booth cannot be occupied due to unforeseen events on the part of the artist/vendor, the organizer must be informed immediately.
- Booths that are not occupied by 10:00 a.m. on the first day of the event may be reallocated by the organizer. The exhibitor is not entitled to a refund of any booth rental paid. If the booked booth remains unoccupied during the event without prior notice, the exhibitor will be excluded from future events.
Products offered for sale:
- The product range offered must be related to gaming, anime, manga & comics, Japan or fantasy.
- The artists/vendors themselves must ensure that the products on offer comply with the applicable law, in particular the protection of minors, the Accounting Act and the Cash Register Ordinance.
It should be noted that goods that are not suitable for minors, glorify violence, are discriminatory or pornographic will not be exhibited in any way. Censor bars are not sufficient, nor is unopened storage or storage inaccessible to minors. Goods not suitable for minors may not be handed out in the Artist & Vendor Alley, even upon request and age verification. - The organizer is entitled to carry out inspections during the event and to demand the removal of prohibited content or to close the exhibitor's booth if the exhibitor presents works that violate this regulation despite a corresponding warning.
- Also not permitted goods: Nude motifs without an explicit sexual/erotic context, as well as images that are clothed in the most revealing areas (e.g. lingerie, bikinis), but strike provocative and/or sexually suggestive poses. The same applies to ahegao products, as well as figures, mangas/doujinshis, artbooks and anime from the yaoi, yuri, hentai, horror, splatter, gore and ecchi genres.
- Each artist may only sell goods that they have produced, designed, sewn or drawn themselves. Bootlegs, traced artworks, plagiarism and counterfeits are not permitted. Third-party products may only be sold as vendors.
- The sale of goods that have been created exclusively or predominantly with the aid of generative artificial intelligence is prohibited at the Artist Booths.
- In the event of copyright infringements, the LEVEL UP team reserves the right to react at its own discretion and have the affected products removed from the booth. In extreme cases or in the event of a lack of cooperation/repeated infringements, the organizer reserves the right to close the booth.
- The sale of open and fresh food and drinks is not permitted.
- The sale of weapons and weapon replicas is not permitted.
- The sale of unlicensed products is prohibited. In case of suspicion, the organizer reserves the right to demand proof of origin or a license agreement from the artist/vendor.
- The sale of objectionable items may be prohibited by the organizers. In the event of repeated violations, the organizer reserves the right to close the exhibitor's booth and to ban the exhibitor from the booth. An excluded artist/vendor has no right to reimbursement of any costs.
- Unless otherwise contractually agreed with the organizer, the sale of tickets for other events of any kind is prohibited.
Payment:
- Payments are due on the dates stated on the invoice, in the absence of an indication on the invoice, the amount resulting from the invoice must be transferred so that it is received by MZS no later than 4 weeks before the start of use.
Failure to fulfill the conditions of participation:
- If the conditions of participation are violated and continue to be violated despite a warning from the organizer, the organizer has the right to exclude the exhibitor from the event with immediate effect or to block the exhibitor from future events. An excluded exhibitor has no right to reimbursement of costs. In the event of gross violations, the organizer reserves the right to file a complaint with the relevant authorities.
Place of fulfillment and jurisdiction:
- The place of fulfilment and exclusive place of jurisdiction for all disputes between exhibitors/partners and the organizer is Salzburg. Austrian law shall apply to all disputes, including those with a foreign connection.
Partial invalidity clause:
- Should any provision of these conditions of participation be/become invalid or incomplete, this shall not affect the validity of the remaining provisions. In this case, the invalid provision shall be interpreted in such a way that it comes closest to the original purpose.
By submitting the application, it is confirmed that applicants have read and agree to the terms and conditions and guidelines for LEVEL UP Artist & Vendor Booths. Legal recourse is excluded.
